Collaborative meetings can be scheduled with internal (RGL) or external participants (i.e. customers/vendors) using the Skype Meeting tool built into your Outlook.  Simply schedule a Skype meeting rather than a regular meeting and a clickable link will be generated in your meeting request which you can send to your participants.  External participants will be able to join the meeting via their web browser and a small file download while RGL participants will be able to join directly from the meeting request using Skype for Business.

Create a Skype meeting by selecting “Skype Meeting” from the new items drop down or via the “New Skype Meeting” button.

Fill in your meeting details as you would for any other meeting. This feature is available for use with internal RGL users as well as external users, complete with the ability to share screens and content as well as computer audio.

If “Join by Phone” is available then you have the option of joining meetings via telephone or computer audio.

When joining a meeting (by clicking the link in the invitation) with telephone connectivity you will be presented with a choice of audio devices as below

From here you can choose to “Use Skype for Business” (computer audio) or “Call me at:” where you are able to enter a telephone number and the conference line will call that number in order to connect you.

Attendees are also able to join simply by calling the number listed under “Join by Phone” and entering the conference ID shown.

Once the meeting has been established the meeting organizer is able to present a desktop or application as well as give a participant the ability to present. To make someone else the presenter right-click on their icon and choose “Make a Presenter”.

You are also able to remove an attendee’s option to present by right clicking their icon and choosing “Make an Attendee”
